Invite and manage participants

Use the guest list to see who was invited, who has responded, who is waiting for approval and who is on the waitlist. Check both the person’s response and whether their email was sent before contacting them again.

Add and invite

Add a guest using a valid email address. For a group event, you can also select members to add. Check the response selected for each person and whether you still need to send an invitation. Being in the group does not mean the person has agreed to attend.

Use the event’s general link for sharing its page. A personal link gives access as a specific guest. Send it only to that person. If you reset a personal link, its old link stops working. Do not treat a link reset as signing the person out of every browser that already has access.

Review participation

Use the list’s available views and filters to find requests and responses. You can review approval requests, update a guest’s response where permitted, and manage waiting guests. Approval is subject to capacity: it may lead to a waiting place rather than Going. Any option to override capacity or waiting order requires a deliberate decision.

Read the confirmation before declining or removing someone. These actions are not substitutes for correcting a typo. A guest’s email cannot be edited in place: correcting the address requires removing the old guest and adding a new record. Private memos are management notes. They are not messages to other participants.

Check what happened

Consult a guest’s history to see response changes and emails sent. After a response changes, a new email may need to be sent even if an earlier one was sent successfully. Use the send or resend option offered instead of adding the person again.

A sending problem does not undo a saved participation change. Confirm the guest’s current status independently, and remember that a sent email is not proof of reading.
